Privacy Policy

1. Who this policy covers

This policy applies to LTRX Pty Ltd (ABN 98 701 491 849, ACN 701 491 849), an Australian proprietary company located in VIC 3212 (“LTRX”, “we”, “us”). It covers personal information we handle through this website and in the course of providing control, network and instrumentation services.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in that Act.

2. The personal information we collect

We collect only what we need in order to quote for, carry out and invoice work. That is typically:

Contact details — your name, position, company or site name, email address and any phone number you choose to give us.
Enquiry content — the description of the plant, the problem and the site access you send us, including anything you attach to an email.
Engagement records — quotations, scopes, site notes, commissioning records, correspondence and invoicing details relating to work performed.
Site information — drawings, configuration files and equipment records supplied by you, which may incidentally contain the names of your personnel.

We do not seek sensitive information as defined in the Privacy Act, and we ask that you do not send it to us.

3. How we collect it

We collect personal information directly from you: when you email us, when you complete the enquiry form on this website (which opens a message in your own email application and sends it to [email protected]), when we visit your site, and during the ordinary course of a project.

Where it is reasonable and practicable, we collect personal information only from the individual concerned. Occasionally we receive your details from a colleague, a head contractor or a referral; if you would prefer we did not hold them, tell us and we will remove them.

4. Why we collect, hold, use and disclose it

We use personal information to:

respond to enquiries and prepare quotations and scopes of work;
plan, perform and commission the work, and arrange site access;
issue invoices and maintain accounting and taxation records;
provide ongoing support, maintenance and warranty follow-up;
keep the project documentation and safety records we are expected to retain.

We do not sell personal information, and we do not use it for any purpose that is unrelated to the work you have engaged us for.

5. Disclosure

We disclose personal information only where it is necessary for one of the purposes above, and only to:

suppliers and equipment manufacturers, where a delivery address or a technical support case requires it;
specialist subcontractors engaged on your project, where a scope requires their involvement;
our accountant, insurer or professional advisers;
a person or body where disclosure is required or authorised by Australian law.

We do not disclose personal information to overseas recipients as a matter of course. If a specific engagement made that necessary — for example an equipment manufacturer’s technical support based outside Australia — we would tell you before doing so.

6. Direct marketing

We do not run marketing lists or send bulk email. If we contact you, it is about an enquiry you made or work we have done for you. You can ask us to stop contacting you at any time by writing to [email protected].

7. This website and cookies

This website is a set of static pages. It sets no cookies, runs no analytics or tracking scripts, embeds no third-party fonts, advertising or social media widgets, and has no server-side form processing. The enquiry form on the contact page hands your message to your own email application; nothing is transmitted to us until you send that email yourself.

Our web host records standard server logs, such as IP addresses and requested pages, for security and availability purposes. We do not use those logs to build a profile of you.

8. Security, storage and retention

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Those steps include access-controlled devices and accounts, encrypted transmission where available, and restricting access to project records to the people who need them.

We keep project and financial records for as long as we are required to under Australian taxation and limitation-period requirements, and for as long as they may be needed to support equipment we have installed. When information is no longer needed for any purpose for which it may be used or disclosed, and we are not required by law to retain it, we take reasonable steps to destroy it or de-identify it.

No method of transmission or storage is completely secure. If a data breach occurs that is likely to result in serious harm, we will respond in line with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

9. Access and correction

You may ask us for access to the personal information we hold about you, and you may ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Write to [email protected] and include enough detail for us to identify the records.

We will respond within a reasonable period. There is no charge for making a request. If we refuse access or refuse to correct information, we will tell you why in writing and explain how to complain.

10. Anonymity

You may deal with us anonymously or under a pseudonym for general enquiries. That is usually impractical once a quotation, a site visit or an invoice is involved, because we need to know who we are contracting with.

11. Complaints

If you believe we have breached the Australian Privacy Principles, please raise it with us first. Email [email protected] with the word “Privacy” in the subject line and set out what happened. We will acknowledge your complaint, investigate it, and respond in writing within a reasonable period.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC), the body responsible for privacy regulation in Australia. The OAIC publishes its complaint process, postal address and enquiry line on its website.

12. Changes to this policy

We may update this policy as our practices or the law change. The current version is always the one published on this page, with the date shown at the top. Material changes will be reflected in that date.
